Flash AI / AI Desk

Flash AI is the only customer-facing name for FlashFender’s AI desk features. Marketing and product UI never expose upstream vendor or model-host names.

Purpose

Give the desk search, summarize, and draft tools on dealership data — with human confirm on anything customer-facing.

Setup

  1. Operator enables Flash AI on deployment (Operators).
  2. Admin reviews Settings → AI governance — tools, logging, kill switch.
  3. Train staff: amber Not configured is normal until step 1 completes.

Daily workflow

  1. Open Desk Copilot (command palette or drawer when routed).
  2. Ask operational questions — aging units, lead summary, deal recap.
  3. Use draft buttons on listings and leads — edit before send.
  4. Disclosure helper on inventory — manager confirms text before Active.
  5. Review governance monthly for blocked prompts.

When configured

AI Desk includes:

  • Streaming Desk Copilot (search vehicles, get lead, summarize deal, list aging units, and related desk tools)
  • Listing description drafts into the rich text editor
  • CASL-aware lead follow-up drafts (no fake Sent)
  • Price / aging narrative helpers
  • Natural-language inventory search
  • Ontario disclosure helper with human confirm
  • Quote objection coach
  • Daily desk brief
  • Entry via command palette and drawer
  • Related Tier 2 surfaces: Lead scoring, After-hours AI, AI governance

When not configured

Without Flash AI enabled on the deployment, surfaces stay honest:

  • Amber Not configured / unavailable messaging
  • No fake completions or silent success

Drafts never auto-send. Empty or invalid AI responses fail closed rather than inventing content.

Permissions

  • Admin — governance console, enable tools per role.
  • Sales — copilot scoped to assigned records.
  • Platform operator — deployment keys (not dealership staff).

Canadian notes

  • AI drafts do not satisfy MVDA/VSA disclosure without human review.
  • CASL applies to AI-drafted SMS/email — verify consent and content.
  • Cost/floor prices omitted from model context where product enforces.
