Compliance helpers

FlashFender helps Ontario and BC desks organize known requirements — it does not replace a lawyer or certified form vendor.

Purpose

Compliance features guard data entry, surface disclosure on documents, and preserve audit history — reducing “we forgot to note the accident” risk without claiming auto-compliance.

What ships

• Known-damage disclosure guards on Active inventory (MVDA-style): Active units with known damage require disclosure notes
• Bill of Sale print includes dealership business block, dealer licence, and HST when set under Settings
• AI disclosure helper can draft notes with human confirm when Flash AI is configured
• Immutable audit trail (Settings → Audit), 10-year retention export and the we-owe / buyer’s guide / known-damage compliance pack (see Audit trail & retention)

Setup

1. Enter licence and HST under Business settings.
2. Train intake on known damage at acquisition.
3. Manager sign-off workflow before BOS on flagged units.

Daily workflow

1. Flag damage at inventory intake — notes required before Active.
2. Merchandising (embed, window) must match notes.
3. Quote/deal carries disclosure forward.
4. Close with BOS + archived PDF.

Permissions

• Inventory managers edit disclosure fields.
• Sales typically read-only on clearing flags.
• Admins run audit/retention exports.

What this is not

• Not a certified UCDA form vendor
• Not legal filing or counsel
• Not a guarantee of regulatory compliance for every jurisdiction
